Background

There are times when you need to stop multiple Onboarding, Offboarding, or Mover workflows at once — for example, after a configuration change that triggered workflows you didn’t intend to run, or when you want to stop scheduled workflows before they execute. Instead of cancelling each workflow individually, you can select multiple workflows in the Onboarding, Offboarding, or Movers tables and cancel them in a single action.

Steps

1. Go to the Onboarding, Offboarding or Movers table

In your Lumos nav, head to Lifecycle Management > Onboarding or Lifecycle Management > Offboarding or Lifecycle Management > Movers.

2. Filter to the workflows you want to cancel

Use the status tabs (In Progress / Scheduled / Completed), the filter bar, or a saved custom view to narrow the table down to the workflows you want to act on. Tip: You can save a custom view if you regularly need to review workflows for a specific team, domain, or status.

3. Select the rows

Click the checkbox on each row you want to cancel, or use the header checkbox to select all visible rows.

4. Click “Cancel Workflows”

Once rows are selected, the bulk action bar appears at the top of the table. Click Cancel Workflows.

5. Confirm the cancel

A confirmation modal will appear: Are you sure you want to cancel X workflows? This action cannot be undone. Only in progress and scheduled workflows will be cancelled. Click Cancel Workflows to confirm.

6. You’re all set

Lumos will cancel every eligible workflow you selected. Any rows that weren’t eligible (for example, Completed or Failed workflows) are skipped automatically without you needing to deselect them beforehand. Status will update to Cancelled in the table once the action completes.

Common scenarios

How do I cancel a single workflow?

You don’t need to use bulk cancel for a single workflow. Click into the workflow row to open the detail drawer and use the Cancel action there.

How do I see which workflows were cancelled?

The table reflects the Cancelled status immediately after the action completes. For a full audit trail, check the Activity Log — cancelled workflows are logged individually with the user who performed the action and a timestamp.

FAQs

What happens if I select workflows that can’t be cancelled?

You can still select them — Lumos won’t block you. When you confirm, only the workflows in In Progress or Scheduled status will be cancelled. Everything else is skipped. For example, if you select 50 rows and 10 are already Completed, only the 40 eligible workflows are cancelled.

Can I undo a cancel?

No. Cancelling a workflow is final. If you cancelled a workflow by mistake, you’ll need to re-trigger the underlying event through your normal flow. Tip: Take a moment to review the count in the confirmation modal before confirming.

Why can’t I cancel a Completed or Failed workflow?

Those workflows have already run to a terminal state, so there’s nothing to stop. If you need to undo the effect of a Completed workflow, run a corrective action — for example, a new access request or a new offboarding.

Will app admins or end users be notified when a workflow is cancelled?

Cancelled workflows don’t trigger the same notifications a Completed workflow would. Any tasks that were already created before the cancel are marked resolved. If downstream notifications have already gone out (for example, a scheduled offboarding reminder), you may want to follow up manually.

Can I bulk reschedule workflows instead of cancelling them?

Bulk rescheduling is not supported. Single-row rescheduling is supported — use cancel and re-trigger for bulk scenarios.
